Innovative Technology: Web-based Solutions

Russell Phillips & Associates has been providing hands-on fire, emergency management and Life Safety Code® compliance since 1976. 

In 1999, we developed our first web-based management tool to support clients.  This product is the Statement of Conditions Internet Management System for Life Safety Code® compliance. 

In 2005, we developed the RPA repository for the firm to internally sort and search through clients Emergency Management and Fire Procedures.  This enabled the firm to track and manage client information and ensure we have the most current procedures available to our staff for each client facility. 

In the summer of 2008, we developed the MassMAP system for working with emergency management clients across multiple geographic spectrums.  We, in essence, enabled our internal system to be used by clients for their emergency lists, regional disaster plans and other key information for clients.  The first group launched this with 166 facility location (MassMAP) and since that time we have added on 90 nursing homes & 9 hospitals in the Washington State, 14 hospitals in Massachusetts, 78 nursing homes & 3 hospitals in the state of Connecticut (with the expected expansion to 200+ nursing homes in the state by 2011 as the first 78 were the launching platform) and most recently a client is launching the corporate tier of this service out to all 221 long term care facilities that they own or manage.

SOC Internet Management Solution

The SOC Internet Management Solution is a customized web tool for our clients to management compliance with the National Fire Protection Association (NFPA) 101 Life Safety Code® and overall management of life safety related deficiencies within their organization.  The intent is to ensure that code compliance is a continuous process for our clients.  This system includes:

  1. Ability to gain access to some of the top healthcare life safety experts in the country to capitalize on unique code interpretations and exceptions
  2. Prepare “RED FLAG” reports to ensure timeliness in meeting agreed upon dates, and avoid a non-compliant (formally “Busted Plan”) plan
  3. Protect leadership from future citations under the LD (Leadership) standards
  4. Minimize risk, stemming from staff turnover and lack of accountability, via a single, customized system that coordinates all SOC progress reports, documentation and floor plans
  5. Monitor progress of action plans across multiple facility locations
  6. Ensure a centralized location to store all equivalencies, written communications with the appropriate Authority Having Jurisdiction, and any other key information that would assist the organization in the event of any incident
  7. Present “clean” floorplans that identify smoke/fire barriers to enhance overall fire and evacuation plans along with specialized AutoCAD support for unique internal educational focuses (i.e. understanding suites, etc.).

MutualAidPlan.org

MutualAidPlan.org is a customized web tool for our clients for managing corporate or regional emergency information for evacuation, resources and assets.  This system includes:

  1. Interactive ability for facilities to update phone numbers and contact information, categories of care provided for cross-reference in an evacuation emergency, types of vehicles and their specific use, supply and inventory lists as well as emergency vendor lists
  2. Provides corporate with the ability to intercede in a local or regional disaster where the facility needs specific assistance with evacuation sites, vendors, etc.
  3. Allows for reporting across regions or all facility locations on specific information, such as vendors, for corporate to work on streamlining the use of vendors and implement cost containment measures
  4. Allows for the specific facility to manage and maintain in a self-directed manner their emergency information for any type of disaster.

RPA Navigator

The RPA Navigator is a customized web tool for our clients that include:

  1. Uploading of Corporate best-practices manuals / policies & procedures / guidelines
  2. Facility-specific emergency management procedures (the sections of the plans along with any education articles for staff and leadership), fire procedures (including floor plans, fire drill critique forms, combustible decorations policies, etc.), life safety procedures (Interim Life Safety Measures, Inspection, Testing & Maintenance protocols, etc.) and any other safety related sections the clients wish to include as toolkits for the facilities
  3. Regional and Corporate oversight to enable interaction on the facility-specific procedures and review for consistency across the organization to reduce liability and exposure.

Documents would all be submitted to Russell Phillips & Associates and uploaded to the system for the facility with the option for Russell Phillips & Associates to do a brief analysis to determine areas that have not been completed by the facility or conduct a detailed analysis for gaps and vulnerabilities in the plans before posting them.
